Do I need a Day Of Wedding Coordinator?

Do I need a Day Of Wedding Coordinator?

What is a Day Of Wedding Coordinator and do you need one?

Hiring a Wedding Coordinator to take care of everything that you have planned is a wonderful option! However… in my opinion, the term Day-Of Coordinator is a misnomer. What a professional Wedding Planner offers in terms of services should be called Month-Of Coordination or Wedding Day Management. To really understand your plans, we need more time to work together to make sure our execution matches your wishes.

You may have been planning your wedding for many many months and dreaming about the big day for even longer. With all the details that went into organizing your wedding, you want to make sure they come to fruition in the best way possible. Getting to know everything that’s important to you is more than picking up notes on the big day and running with them.

As Wedding Planners, we pride ourselves on being flexible to our couples’ wishes. To be successful, we need to do our preplanning to make sure nothing is overlooked. We make sure there’s a solid plan in place to bring final details together, take note of your wishes and make sure vendors are on board to work together towards your best day ever!

We have seen so many things happen on a wedding day and are adept at being flexible to make sure your plans stay on track. Draw from our experience and trust that we will work hard for you to make sure nothing has been overlooked!

Let’s talk about the Process

When do services start?

Wedding Day Management services start 6 weeks before the wedding. Prior to this, we are already in touch to receive and review all your contracts. We start right away, working on your timeline by drawing information from your signed agreements. It’s a great place to start and means that at our meeting, we can focus on the fine details of your day.

6 weeks before your wedding, we sit down for our Finalization Meeting. Together, we go over absolutely everything! Be ready for lots of questions and some helpful tips to lead you in the decision making.

Homework

A few days following this meeting, you get a list of to-do items. It can look a bit daunting, but not to worry as so far NO COUPLE has had it all figured out. All the answers that come from checking off your tasks means more details to add to the schedule and we LOVE details!

Vendor intros

Following the finalization meeting, we introduce ourselves to your vendor team to introduce ourselves as their point of contact on the wedding day. We also let vendors know when to expect their version of the timeline.

The Wedding Rehearsal

The week of your wedding is when we get to rehearse the ceremony. We want you to know where you’re walking in, where everything is standing, what to do with your hands and more! It sounds straight forward, but when all eyes are on you, it’s helpful to have run through everything if nerves take over.

The Wedding Day

The Wedding Day is a favourite! It’s amazing seeing all of your plans and our refinement coming together to create some truly special memories. With our preplanning, your priorities are always at the forefront of the day and we are there to take care of everything. It’s all about your experience and your guest experience, so sit back and enjoy every moment while trusting us with the execution. When you trust Keepsake Events to coordinate your Vancouver wedding, we do our best to make sure it’s perfect!

  • The main planning is done and you need a professional touch to make sure it makes sense and runs as smoothly as possible.

  • You’re still not quite sure how the timing comes together and need expert advice.

  • You don’t want people coming to you with questions on the wedding day.

  • You want to enjoy your day and for your guests to enjoy it too.
